10 Hidden Costs in Copier Contracts Every Hong Kong Business Should Know

These hidden costs can add HK$10,000-50,000+ to your total contract cost — here's how to spot and avoid them

You've negotiated a competitive monthly lease payment and a fair click charge. The deal looks good on paper. But buried in the fine print of your copier contract are costs that most Hong Kong businesses don't discover until they receive an unexpected invoice — or try to end the contract.

Here are the 10 most common hidden costs, with real HKD estimates and specific advice on how to negotiate them away or minimise their impact.

Minimum Volume Charges

Potential cost: HK$200-800/month

Many copier contracts include a minimum monthly page volume — typically 2,000-5,000 pages. If your actual print volume falls below this minimum, you still pay for the minimum. This is essentially a floor on your click charges.

Example

Your contract has a 3,000-page B&W minimum at HK$0.04/page. In January, your office only prints 1,500 pages. You are still billed 3,000 × HK$0.04 = HK$120, not 1,500 × HK$0.04 = HK$60. Over 12 slow months, that's HK$720 wasted.

How to avoid: Negotiate the minimum down to your lowest expected monthly volume, or insist on a rollover clause that lets unused pages carry forward to the next month.

Auto-Renewal Traps
